Leads day-to-day operations while directly contributing to project development, implementation, communications, reporting, and operational support activities.
*This is a part-time position, averaging 20-25 hours per week. Funding for this role is grant-supported and subject to annual review.*
Scope of Work
Oversee project plans, timelines, deliverables, task assignments, weekly meeting agendas, and note-taking using the project management platform, Asana.
Coordinate and follow up with clinical experts, authors, and contributors to ensure timely completion of project activities.
Process and distribute certificates of completion.
Track, file, and help manage contracts, serving as a liaison between NDSS and authors/reviewers.
Oversee annual collection and management of required documentation, including W-9s, financial disclosures, and accreditation materials.
Generate and process invoices and support payment tracking and reconciliation.
Review and prepare educational content, including citation verification, AMA style formatting, document editing, and file management.
Coordinate correspondence, reporting, and administrative requirements for accreditation and educational partners.
Update and maintain project content within WordPress website, e-learning authoring tool (Articulate), and learning management system (Absorb).
Support development and deployment of online educational courses and continuing education activities.
Create and distribute marketing and communication materials, including newsletters, social media content, and promotional campaigns.
Attend and facilitate project meetings; document action items and ensure follow-through on assigned tasks.
Review grant applications and supporting documents for completeness and alignment with project goals.
Manage outreach efforts, stakeholder engagement, and meeting coordination with medical schools, professional organizations, and community partners.
Research conferences, journals, sponsorships, and advertising opportunities to expand program reach and impact.
Assist with program budget tracking, expense monitoring, and financial reporting.
Coordinate collection of participant testimonials and other program impact materials.
Maintain relationships with external partners and organizations, ensuring effective communication and project collaboration.
