ABOUT THIS ENGAGEMENT

Internews is seeking a contract Project Associate to provide project coordination, data management, and reporting support for PRISM. This person will be responsible for a defined set of outputs tied to the project's monthly production cycle. Close coordination with the project team is expected in planning and prioritizing the work to ensure agreed timelines and quality standards are met.

SCOPE OF WORK

Monitoring Operations

  • Build a monthly status report summarizing DIAL monitoring progress, including priorities completed, outstanding items, and coordination issues requiring escalation.

  • Maintain internal workplans, activity calendars, and monitoring trackers, delivered monthly.

  • Document key discussions and follow-up actions from project coordination meetings, with notes submitted within an agreed timeframe following each session.

Data Management and Quality Assurance

Support the integrity and accessibility of DIAL data and project documentation on an ongoing basis. Regular quality checks are expected as part of this work area.

  • Audit and maintain case records in the DIAL database, checking for completeness and accuracy and flagging anomalies for resolution. A summary of this activity is expected monthly.

  • Organize project documentation repositories and ensure they remain accessible throughout the engagement, following a structure agreed upon mutually.

  • Track and manage technical providers in addressing platform or access issues, maintaining a running log and resolution status as part of routine reporting.

Reporting and Communications

Support the production and distribution of PRISM knowledge outputs, including the monthly DIAL brief, related communications materials, and stakeholder management. Timely contribution to reporting cycles is a core expectation in this area.

  • Liaise with the project team in delivering a formatted draft of the monthly DIAL brief ahead of the internal review date agreed at the start of each cycle.

  • Compile activity reports and briefing materials in advance of review deadlines, as agreed at the start of each reporting period.

  • Maintain an up-to-date stakeholder mailing list and engagement log, updated following each dissemination activity.

  • Partner with the internal teams and partners as needed, to support effective communication, reporting, and knowledge-sharing processes.

General Project Support

Provide ongoing coordination to ensure smooth project implementation. Additional support activities may be agreed upon by mutual consent as project needs evolve.

  • Maintain project documentation, including activity trackers, contacts, and progress updates reviewed monthly or as otherwise agreed.

  • Provide logistical coordination plans for project meetings or activities, covering scheduling confirmations, participant details, and travel and accommodation arrangements where applicable.

Additional deliverables may be agreed upon to support project implementation.
