Patient Concierge Associate

The Patient Concierge Associate is supporting patient travel and reimbursement services for clinical trials. This role provides administrative and operational support, working with internal teams and study stakeholders to coordinate daily activities, maintain documentation, and ensure smooth project execution.

Key Responsibilities

  • Monitor and manage shared mailbox; route requests to appropriate team members

  • Maintain trackers, documentation, and project records (SharePoint, Excel, etc.)

  • Support study setup activities, including documentation and onboarding tracking

  • Coordinate meetings, calendars, and prepare agendas and notes

  • Assist with vendor communication, documentation, and tracking

  • Maintain accurate records for projects, vendors, and study activities

  • Support reporting, presentations, and routine status updates

  • Assist with financial tracking, invoices, and budget documentation

  • Ensure documentation complies with SOPs and internal processes

Skills & Qualifications

  • Basic proficiency in MS Office (Excel, Word, Outlook, PowerPoint)

  • Strong organizational skills and attention to detail

  • Good communication and teamwork abilities

  • Ability to manage multiple tasks and follow structured processes

  • Willingness to learn and grow

Experience & Education

  • Relevant years of administrative or coordination experience

  • Healthcare or clinical research exposure is a plus

  • Bachelor’s degree preferred
