Job Role: AI Automation Specialist (Part-time)

Compensation range: $800 AUD - $1.200 AUD / Monthly

Engagement type: Independent Contractor Agreement

Work Schedule: This role is expected to require roughly 15-20 hours per week. As a contractor, you’ll have flexibility in how you manage your schedule, but availability for occasional collaboration during AU business hours is preferred.

Who The Client Is: Our client is an international healthcare services provider specialising in emergency medical support and patient transport.

Role Overview: We are seeking a hands-on AI Automation Specialist to help streamline and modernise business processes through practical automation within the Microsoft 365 ecosystem.

This is a build-and-teach role for someone who can identify inefficient manual processes, design and implement AI-powered solutions, and then confidently guide non-technical team members in using them. You will work closely with the team to understand existing workflows, recommend better ways of working, and build scalable solutions using tools such as Microsoft Copilot, Power Automate, SharePoint, and Excel.

The role is approximately 20 hours per week, with flexibility around core Australian business hours to support team collaboration.

Key Responsibilities: 

  • Design and build AI-powered workflows and automations using Microsoft 365, including Copilot, Power Automate, SharePoint, and Excel.
  • Automate document and data processing workflows, including extracting information from documents and converting it into structured outputs such as spreadsheets and draft quotes.
  • Develop automated quality and compliance processes that identify exceptions and reduce unnecessary manual reviews.
  • Help migrate existing workflows from Monday.com into Microsoft 365 and SharePoint-based solutions.
  • Work directly with team members to understand their current processes and identify opportunities to improve efficiency.
  • Build a central dashboard or workspace that provides staff with easy access to relevant AI tools, workflows, and processes.
  • Create clear SOPs, process documentation, and short how-to guides for newly implemented solutions.
  • Deliver short Teams-based training sessions to help non-technical staff confidently adopt new tools and workflows.
  • Provide ongoing support and assist with ad hoc AI and automation requests as required.
  • Continuously identify opportunities to simplify processes, reduce manual work, and improve productivity.

Requirements

  • Proven hands-on experience with Microsoft 365 automation, particularly Copilot, Power Automate, SharePoint, and Excel.
  • Experience with document/data extraction and workflow automation, including PDFs.
  • Strong Excel, analytical, and problem-solving skills.
  • Excellent English communication and ability to explain technical concepts simply.
  • Confident training non-technical users and supporting technology adoption.
  • Strong SOP and documentation skills.
  • Proactive, consultative approach with a focus on improving processes.
  • Self-directed and comfortable working with evolving requirements.

Nice To Have:

  • Experience with Deputy or BambooHR.
  • Experience supporting services, field-based, or compliance-focused businesses.
  • Experience training non-technical teams on AI and automation.

Work Arrangement & Expectations:

This is a remote role that may be set up as either an independent contractor engagement or via an Employer of Record (EOR), depending on client preferences and legal structure.

To ensure alignment and transparency, successful candidates will be expected to:

  • Be available for meetings and collaboration during core [AEST or PHT] business hours
  • Disclose any existing ongoing roles or client work
  • Reflect this engagement on their LinkedIn profile (clearly marked as “Independent Contractor” if not employed via EOR)
