What do we need?

We are seeking a detail-oriented and organized Marketing Support Specialist to support our marketing team and fleet account program. This part-time position (approximately 20 hours per week) is ideal for someone who enjoys managing processes, coordinating projects, and ensuring operational excellence across multiple marketing initiatives.

The Marketing Operations Specialist will play a key role in supporting marketing systems, digital presence management, reputation management efforts, and fleet account onboarding. This position works closely with the marketing team and cross-functional departments to ensure projects and accounts are set up accurately and efficiently.

General Requirements

  • Ability to manage multiple projects and deadlines simultaneously.
  • Proficiency with Microsoft Office and Google Workspace.
  • Comfortable learning new software and digital platforms.
  • Experience with website content management systems is preferred.
  • Experience with Google Business Profile management is a plus.
  • Marketing, administrative, customer service, or project coordination experience preferred.

Responsibilities
  • Create and maintain SKUs, promotional codes, and marketing-related system entries.
  • Set up and manage Google Business Profiles for new and existing locations.
  • Monitor and assist with online reputation management, including review tracking and response coordination.
  • Perform routine website updates, including content changes, promotions, location information, and basic page edits.
  • Assist with marketing project coordination and administrative tasks.
  • Maintain accurate records and documentation across marketing platforms and systems.
  • Support new location openings, promotions, and marketing initiatives as needed.
  • Assist with the onboarding and setup of fleet accounts, including:

    Lead Intake:

    • Receive and organize incoming fleet inquiries
    • Ensure lead information is complete and properly documented.

    Discovery:

    • Gather client information and identify account needs.
    • Coordinate communication between prospective clients and internal stakeholders.

    Agreement & Documentation:

    • Prepare account agreements and required onboarding documents.
    • Track completion and receipt of signed paperwork.

    Account Setup:

    • Create and configure fleet accounts within company systems.
    • Verify account details and billing information.

    Internal Readiness:

    • Coordinate with operations, customer service, accounting, and other departments to ensure account readiness.
    • Communicate launch timelines and requirements.

    Client Launch:

    • Assist with account activation and client onboarding.
    • Ensure clients receive necessary information and resources for a successful launch


Physical Requirements
  • Ability to remain seated and work at a computer for extended periods.
  • Able to lift at least 20lbs
  • Ability to travel as business needs require.
