Purpose
The Inventory Specialist is responsible for maintaining accurate, real-time inventory records across finished goods, raw materials, and packaging at Stellar Snacks. This role posts finished good production, performs recurring cycle counts, and operates a forklift to receive, move, and stage product, ensuring inventory accuracy supports uninterrupted production and on-time shipping.
Scope
The Inventory Specialist reports directly to the Inventory Supervisor and works closely with Production Supervisors, the Warehouse team, Shipping & Receiving, Quality, and Purchasing. This role is a key contributor to inventory accuracy, on-time order fulfillment, and the overall efficiency of warehouse operations.
Duties & Responsibilities
Finished Goods Production Posting
Post finished goods production transactions daily and accurately in NetSuite (or company ERP system)
Reconcile production output against production schedules, batch records, and bills of materials (BOMs)
Verify lot numbers, quantities, and production dates before finished goods are entered into inventory
Label, palletize, and stage finished goods for warehouse storage or outbound shipment
Coordinate with Production Supervisors to identify and resolve discrepancies between reported and actual production output
Cycle Counting & Inventory Accuracy
Perform scheduled monthly cycle counts of finished goods, raw materials, and packaging inventory
Investigate and resolve count discrepancies, adjusting inventory records with proper documentation and approval
Maintain accurate, up-to-date inventory records in NetSuite and supporting Excel trackers
Support annual physical inventory counts and audits
Identify and report slow-moving, obsolete, expired, or damaged inventory to the Inventory Manager
Material Handling & Forklift Operation
Safely operate a forklift (sit-down and/or stand-up) to load, unload, and move pallets of raw materials, packaging, and finished goods
Maintain a valid forklift certification and follow all safe operating practices at all times
Load outbound trucks and unload incoming raw material and packaging deliveries
Organize and maintain warehouse storage locations, ensuring proper stock rotation (FIFO/FEFO)
Perform and document daily forklift safety inspections; report equipment issues promptly
Inventory & Data Management
Maintain accurate, real-time inventory data in NetSuite and Microsoft Excel
Generate and review inventory reports to identify trends, shortages, or recurring discrepancies
Support reconciliation between physical counts and system records
Process receiving transactions, transfers, and inventory adjustments in the system
Maintain organized, audit-ready documentation for all inventory transactions
Safety & GMP Compliance
Follow all safety policies, PPE requirements, and forklift safety protocols without exception
Perform all work in accordance with Stellar Snacks' food safety standards, GMPs, and allergen control procedures
Maintain a clean, organized, and safe warehouse environment
Report all safety hazards, near-misses, and incidents to the Inventory Manager immediately
Complete all required safety and food safety training
Team & Communication
Communicate clearly with Production, Shipping & Receiving, and Warehouse teams regarding inventory status and product availability
Participate in shift handoff briefings to ensure continuity of open inventory items across shifts
Support and train other warehouse team members on inventory processes as needed
Demonstrate a strong sense of ownership, accuracy, and a flexible, solutions-oriented attitude

Qualifications
Qualifications & Education Requirements
Education
High school diploma or GED required
Experience & Skills
Must be 18 years of age or older
1-2+ years of inventory, warehouse, or materials-handling experience required; food manufacturing environment preferred
Hands-on experience performing physical inventory counts and cycle counts required
Valid forklift certification preferred, or ability to obtain certification upon hire
Computer savvy, with the ability to learn and navigate ERP and warehouse management systems quickly
Proficient in Microsoft Excel (formulas, sorting/filtering, pivot tables) required
Experience with NetSuite strongly preferred
Strong attention to detail and a high degree of accuracy in a fast-paced environment
Ability to work independently, prioritize tasks, and meet daily production and shipping deadlines
Strong communication skills — able to clearly relay inventory status and issues to both technical and non-technical team members
Technology
Experience with NetSuite or a similar ERP/warehouse management system preferred
Proficient in Microsoft Excel and the Microsoft Office suite (Word, Excel, Outlook)
