The Grant Compliance Coordinator will manage the documentation and submission process for public grants, ensuring all requirements are met for reimbursement. They will track project deadlines, coordinate with various stakeholders, and maintain audit-ready project files.
The Opportunity
We're looking for a Grant Compliance Coordinator to support our consulting lead on RACP and other public-grant engagements. Public grants are reimbursed only when every requirement is documented, on time, to the funder's satisfaction, and this role keeps that process moving: assembling submissions, tracking deadlines, chasing documentation from the parties involved, and keeping each project audit-ready. This is detail and follow-through work, well suited to someone who takes satisfaction in a complete file and a deadline met. The role is fully remote and part-time, with hours that vary with project workload.
Key Responsibilities
• Assemble grant submissions. Prepare and maintain RACP Project Management Proposal packages and their attachments, including RDA-300 and RDA-301 forms, construction cost breakdowns, schedules, and organizational charts.
• Collect and organize documentation. Solicit required compliance documents from grantees, sub-grantees, architects, contractors, and counsel: proof of three-bid solicitation, construction contracts, payment and performance bonds, insurance certificates naming the Commonwealth, prevailing-wage and steel-procurement compliance, environmental and historic documentation, opinions of counsel, and cooperation agreements.
• Manage reimbursements. Prepare and submit payment-request packages with complete back-up, and track the status of draws through to disbursement.
• Keep projects on schedule. Maintain compliance checklists, submission calendars, and deadline trackers across multiple projects, and follow up persistently until every item is in hand.
• Coordinate construction monitoring. Organize construction-monitoring reports, meeting minutes, and sign-in sheets, and keep the record complete.
• Serve as a reliable point of contact. Work with the PA Office of the Budget and project partners, and keep all records inspection- and audit-ready.
Qualifications: Required
• Exceptional attention to detail and strong documentation and records discipline
• Comfort following up with busy people and holding them to deadlines
• Experience in grant administration, compliance, contract administration, bookkeeping, paralegal work, project coordination, or executive support
• Strong organizational and spreadsheet skills, and the ability to manage many documents and deadlines at once
• Ability to work independently in a fully remote role
Qualifications: Preferred
• Familiarity with Pennsylvania RACP or other public grant programs
• Exposure to construction or contract documentation, prevailing wage, or public bidding requirements
• Experience preparing reimbursement or draw packages
