The Chief of Staff will partner with the CEO to manage operations, people, and executive support while overseeing cross-functional projects. They are responsible for maintaining the operating rhythm, managing hiring processes, and ensuring the team remains focused on the company's mission.
FaithOnline is a Christian community app for following Jesus in every part of life. We believe technology should serve transformation in Christ, not distraction, addiction, or noise.
Our app is live, and we are moving fast toward our Advent launch. Our platform is iOS and Android first, built for believers who want more than a scroll. As we scale, every person we bring on is a core contributor to both the product and the mission.
FaithOnline is a Gospel-centered platform built on a clear Statement of Faith. We believe in the authority of Scripture, salvation through Jesus Christ alone, and the call of the Great Commission. We are building technology in service of the Church, not in competition with it. The person we hire should share this foundation. You don't have to agree with every decision we make. But you should believe in what we are building and why.
We need a senior operator who will sit beside our CEO and own the work that keeps a small team moving: operations, people, executive support, and the projects that matter but have no natural owner.
Our current Chief of Staff built much of FaithOnline's operating foundation over the past year, including hiring and onboarding, contractor agreements, tooling, and Notion as the team's single source of truth. You will inherit that foundation and a documented handoff, then take it further as we head into our Advent launch.
Success after six months looks like this: Yelena spends her time on vision, Voices, and partners rather than operations. Contractor agreements stay current. Hiring runs on a repeatable process. The team knows what is due, who owns it, and where it lives.
CEO partnership. Be Yelena's thought partner on priorities and trade-offs. Turn ambiguous ideas into plans with owners and dates, and keep decisions and follow-ups from slipping.
Executive support. Manage Yelena’s calendar and scheduling, prepare her for key meetings, and handle the light administrative follow-through that keeps her focused.
Operating rhythm. Run the weekly standup cadence, keep meeting notes and action items flowing into Notion, and make sure the Friday status picture is accurate.
People operations. Run hiring end to end in Deel, from role scoping and job posts through interview scheduling, interviews, offers, and onboarding. Own offboarding and access removal when contracts end.
Contracts and legal coordination. Draft, track, and renew contractor and partner agreements. Work with outside counsel on trademarks and contract language.
Finance and tooling. Audit subscriptions and tool spend, and keep the tech stack lean. Manage tool access, shared inboxes, and the 1Password vaults.
Project management. Own cross-functional projects that span Product, Marketing, and Partnerships, especially in the run-up to our Advent launch.
Process. Introduce lightweight systems that fit a team our size: clear owners, written decisions, fewer dropped balls. Use AI tools well and help the team do the same.
We care more about what you have done than how many years you have done it. You will probably do well here if you:
Have served as a Chief of Staff, operator, or founder's right hand at an early-stage company, ideally on a fractional basis.
Can run hiring, contracts, and vendor management without a template, and know when to bring in counsel.
Take vague problems and make them concrete: a plan, an owner, a date.
Are as comfortable handling scheduling and follow-up as you are shaping a plan. This role includes both.
Communicate early and plainly, especially when something is late or not working.
Are comfortable in Notion, Slack, Google Workspace, and Deel, and already use AI tools in your daily work.
Can give this role reliable, consistent hours each month. This role is not a fit alongside a full-time W-2 job; fractional and portfolio operators are welcome.
Are aligned with FaithOnline's Statement of Faith. This shapes the decisions you will be trusted to make.
Helpful, not required
Experience with faith-based organizations, ministries, or creator platforms.
Experience launching an app, ideally a consumer or community product.
This role needs someone who hits the ground running. By day 30, you will have:
Taken ownership of open hiring, contracts, and tool access from the handoff documentation in your first week.
Run the weekly standup on your own and owned action-item follow-through.
Met each team member 1:1 and know where every active project stands.
Completed a contract and subscription audit and brought Yelena a short list of what to renew, renegotiate, or cut.
Picked up at least one cross-functional project tied to our Advent launch.
