Title: Independent Contractor – CPT-11139 Property Management Virtual Assistant/Business Support /Senior Level (Remote).

Overview

20four7VA is seeking offshore independent contractors to deliver remote services to clients worldwide, with a primary focus on developed markets such as the United States, the United Kingdom, Canada, and Australia.

We are seeking a highly organized and proactive Property Management Virtual Assistant to support a growing property management business that oversees multiple residential properties and handles frequent tenant turnovers and maintenance-related requests.

The ideal candidate will be responsible for managing schedules, coordinating appointments, handling invoices and billing tasks, responding to emails, returning phone calls, and ensuring that incoming requests are routed appropriately. This role is ideal for someone who is detail-oriented, customer-service focused, and capable of managing multiple administrative tasks in a fast-paced property management environment.

The objective of each engagement is to assist the client in improving business efficiency, enhancing service delivery, or supporting operational functions through high-quality, task-specific services rendered by a qualified contractor.

Scope of Services

Contractors will be required to provide services that align with the following client tasks:

Scheduling & Calendar Management

  • Monitor incoming emails and phone calls and schedule appointments accordingly.
  • Manage calendars and coordinate meetings, maintenance appointments, inspections, and property-related schedules.
  • Ensure all appointments and follow-ups are accurately tracked and updated.

Administrative Support

  • Manage and organize emails, correspondence, and property-related documentation.
  • Assist with general administrative tasks and daily operational support.
  • Maintain accurate records and ensure information is properly documented.

Invoicing & Billing Support

  • Prepare and send invoices to tenants, vendors, and clients as needed.
  • Assist with billing-related tasks and payment tracking.
  • Maintain organized financial records and documentation.

Phone & Communication Management

  • Handle inbound and outbound phone calls professionally.
  • Return calls and respond to inquiries promptly.
  • Gather information from callers and direct requests to the appropriate person or service provider.
  • Coordinate communication between tenants, vendors, and management when necessary.

Property Management Support

  • Assist with managing maintenance requests and property turnover activities.
  • Track ongoing property-related tasks and ensure timely follow-up.
  • Help coordinate vendors and service providers as needed.
  • Support daily operations across multiple managed properties.

Each engagement is based on a defined scope of work and is governed by an independent contractor agreement. Services must be performed professionally, with adherence to any timelines, guidelines, and deliverables agreed upon in writing.


Skills

The Contractor must demonstrate proficiency in the following, depending on the Client’s requirements:

  • Previous experience as a Virtual Assistant, Administrative Assistant, or Property Management Assistant.
  • Strong organizational and multitasking skills.
  • Excellent verbal and written English communication skills.
  • Ability to manage calendars, schedules, and appointments efficiently.
  • Experience handling invoices, billing, or administrative financial tasks.
  • Strong attention to detail and follow-through.
  • Ability to work independently with minimal supervision.

Preferred Qualifications

  • Previous experience in property management or real estate administration.
  • Experience coordinating maintenance requests and vendor communications.
  • Familiarity with property management workflows and tenant communication.
  • Customer service experience is a plus.

  • Excel/Spreadsheets
  • No existing CRM system is currently in place
  • Primary communication via cellphone


Work Schedule

  • Contracted Hours per Week: 20 Hours
  • Scheduled Working Days: Monday through Friday (unless otherwise mutually agreed in writing)
  • Daily Working Time: 10:00 AM – 2:00 PM EST

Note: The Company will make reasonable efforts to align the Assigned VA’s schedule with the Client’s preferred hours as set forth above. However, availability may vary based on time zones, capacity, and the contracted hours set in this SOW. Any changes must be mutually agreed to in writing through a revised SOW.

Terms of Engagement

  • Contractors will operate under a Master Services Agreement and a Statement of Work
  • This is not an offer of employment; contractors are not employees of 20four7VA or any client
  • All compensation is processed through 20four7VA according to the terms of the engagement
