Position Summary 

The Change Management Specialist is responsible for identifying, documenting, pricing, tracking, negotiating, and closing changes to masonry contract scope throughout the project lifecycle. This position plays a critical role in protecting the company’s contractual rights and ensuring that additional work, deleted work, delays, and impacts are properly documented and converted into approved change orders. 

Working closely with project managers, estimators, superintendents, foremen, accounting personnel, general contractors, architects, engineers, and owners, the Change Management Specialist will review project documents and field conditions to identify changes that may affect the masonry contractor’s scope, cost, schedule, or productivity. 

The ideal candidate has a strong understanding of commercial masonry construction and can connect changes in drawings and field conditions to measurable impacts in labor, materials, equipment, schedule, and project cost. 

Key Responsibilities 

Change Identification 

  • Monitor architectural, structural, and project documents for changes affecting masonry scope. 
  • Review revised drawings, specifications, addenda, RFIs, ASIs, bulletins, architect’s instructions, and field directives. 
  • Identify additions, deletions, substitutions, revisions, and clarifications that may constitute changes to the masonry contract. 
  • Review field conditions and identify work that differs from the original contract documents. 
  • Identify potential changes resulting from unforeseen conditions, design revisions, coordination issues, access restrictions, sequencing changes, and other project impacts. 
  • Review RFI responses for changes or clarifications that may affect cost or schedule. 
  • Work with project managers and field personnel to ensure potential changes are identified as early as possible. 

Change Documentation 

  • Maintain a comprehensive change-order log for assigned projects. 
  • Document the source, date, description, and potential impact of each change. 
  • Maintain supporting documentation including drawings, photographs, correspondence, RFIs, meeting minutes, daily reports, delivery records, and field documentation. 
  • Ensure changes are properly documented before additional work is performed whenever contract requirements allow. 
  • Develop clear and traceable records connecting each change to the resulting cost and schedule impact. 
  • Maintain organized records of submitted, approved, rejected, pending, and disputed changes. 

Change Order Pricing 

  • Prepare detailed change-order pricing for masonry work. 
  • Develop labor, material, equipment, subcontractor, and other cost estimates associated with changes. 
  • Quantify additional or deleted masonry quantities. 
  • Calculate impacts associated with CMU, brick, stone, mortar, reinforcing, flashing, lintels, embeds, scaffolding, equipment, and other masonry-related materials and activities. 
  • Evaluate labor productivity and additional labor requirements resulting from changes. 
  • Account for applicable overhead, supervision, general conditions, insurance, bonds, and profit in accordance with company and contract requirements. 
  • Obtain pricing and supporting information from vendors and subcontractors when necessary. 
  • Coordinate pricing with estimators and project managers to ensure consistency with project requirements. 

Contract & Scope Review 

  • Review masonry subcontracts, purchase orders, project specifications, drawings, and scope documents. 
  • Develop a strong understanding of contractual requirements related to changes, notices, pricing, and documentation. 
  • Compare original contract documents against revised documents to determine scope changes. 
  • Identify work that falls outside the original masonry contract scope. 
  • Assist project management in determining entitlement to additional compensation. 
  • Identify notice requirements and deadlines associated with potential changes. 
  • Escalate significant contractual or commercial issues to project management and company leadership. 

Change Order Preparation & Submission 

  • Prepare professional change-order proposals and supporting documentation. 
  • Clearly describe the reason for the change and the associated scope of work. 
  • Provide detailed quantity, labor, material, equipment, and cost breakdowns when required. 
  • Prepare supporting exhibits, marked-up drawings, photographs, and other documentation. 
  • Submit change-order requests in accordance with contract requirements and project procedures. 
  • Track submission dates and required responses. 
  • Follow up with general contractors, owners, architects, and other stakeholders regarding pending change requests. 
  • Maintain accurate records of all negotiations and revisions to change proposals. 

Change Order Negotiation Support 

  • Assist project managers and company leadership in negotiating change orders. 
  • Respond to questions and requests for additional backup from general contractors and owners. 
  • Analyze proposed reductions or adjustments to submitted change orders. 
  • Provide supporting documentation to defend pricing and scope. 
  • Maintain a professional and factual approach during commercial negotiations. 
  • Escalate disputed or high-value changes when appropriate. 

Field Coordination 

  • Work closely with superintendents and foremen to understand the actual impact of changes in the field. 
  • Verify quantities and site conditions associated with change work. 
  • Review daily reports, production reports, photographs, time records, and material tickets. 
  • Coordinate with field personnel to document additional labor, equipment, and material requirements. 
  • Ensure field personnel understand which work is authorized, pending approval, or outside the original contract scope. 
  • Help establish procedures for tracking labor and material associated with pending changes. 

Schedule & Productivity Impacts 

  • Identify changes that may affect the masonry schedule or productivity. 
  • Evaluate impacts caused by resequencing, restricted access, stacking of trades, incomplete predecessor work, design changes, or other project conditions. 
  • Coordinate with project schedulers and project managers when changes affect critical activities or milestones. 
  • Document labor inefficiencies and productivity impacts resulting from changes. 
  • Assist in preparing time-impact documentation when required. 
  • Monitor approved changes to ensure they are incorporated into project schedules and forecasts. 

Billing & Financial Coordination 

  • Coordinate with project managers and accounting personnel to ensure approved change orders are properly incorporated into project billing. 
  • Track approved and pending change-order values. 
  • Reconcile change-order pricing with project cost records. 
  • Assist with forecasting potential change-order revenue. 
  • Monitor unapproved changes that may represent significant financial exposure. 
  • Provide management with regular reports on pending, approved, rejected, and disputed changes. 
  • Assist with ensuring approved changes are billed in accordance with contractual requirements. 

Project Closeout 

  • Ensure all outstanding change orders are identified and resolved before project closeout. 
  • Reconcile change-order logs against project records and accounting systems. 
  • Compile final supporting documentation for approved changes. 
  • Assist with resolving outstanding commercial issues and disputed changes. 
  • Maintain complete change-management records for future reference and claims support. 
  • Participate in project closeout reviews and lessons-learned activities. 

Masonry-Specific Knowledge 

The successful candidate should understand the commercial masonry scope and be able to recognize changes involving: 

  • CMU walls and partitions 
  • Brick veneer and face brick 
  • Structural masonry 
  • Reinforced masonry 
  • Stone and manufactured stone 
  • Thin brick and masonry veneer systems 
  • Masonry openings 
  • Lintels and shelf angles 
  • Reinforcing and bond beams 
  • Control and expansion joints 
  • Flashing and weeps 
  • Anchors and ties 
  • Grouting 
  • Mortar and accessories 
  • Scaffolding and access requirements 
  • Masonry restoration or remediation 
  • Changes in wall heights, thicknesses, locations, and types 
  • Changes to openings, embeds, structural supports, and interfaces with other trades 

Required Qualifications 

  • Bachelor’s degree in Construction Management, Business, Engineering, Accounting, or a related field is preferred. 
  • 3–7 years of experience in construction change management, project management, estimating, project controls, or commercial construction. 
  • Experience with commercial construction contracts and change-order processes. 
  • Strong understanding of construction drawings and specifications. 
  • Ability to quantify construction scope and develop detailed pricing. 
  • Strong knowledge of construction labor, material, and equipment costs. 
  • Proficiency with Microsoft Excel, Word, Outlook, and PDF/document management software. 
  • Experience with construction management platforms such as Procore, Autodesk Construction Cloud, or similar systems is preferred.
