ABOUT THE ROLE
At Momentum Accounting, we’re more than just a remote accounting firm. We’re a people-first, tech-savvy team that helps small businesses grow with confidence. We believe accounting should be empowering, not overwhelming. That’s why we blend smart systems, strategic thinking, and human connection to deliver financial clarity our clients can act on.
The Client Scheduler keeps our clients showing up. You own client meetings from start to finish: booking them, confirming them, sending reminders, and rebooking no-shows. You’ll have access to every team member’s calendar, so you’re the person who makes sure the right people are in the right meetings at the right time.
Right now, this work is eating time from our controllers and senior staff who shouldn’t be doing it. You’ll take it off their plates. You partner closely with the Client Coordinator: they handle client follow-up on documents and open items, and you focus exclusively on getting clients into meetings.
WHAT YOU’LL DO
- Manage team calendars: Book, confirm, and reschedule client meetings across all team calendars. Keep calendars accurate at all times.
- Send meeting reminders: Reach out by text, email, or phone ahead of every client meeting so clients show up prepared.
- Chase no-shows: When a client misses a meeting, follow up the same business day and get them rebooked.
- Be the friendly voice of Momentum: Every call and text is warm, professional, and persistent without being pushy.
- Log meeting activity: Record bookings, confirmations, cancellations, and no-shows so the team always knows what’s on the calendar.
- Support restoration clients: Our restoration clients need extra hand-holding. Give them the meeting reminders and confirmations that keep their projects on track.
- Flag patterns early: Escalate clients who repeatedly miss or cancel meetings, so the team can address it before it becomes a bigger problem.
- Help improve the system: Partner with the team on the scheduling and reminder tools we use, and suggest ways to make booking smoother.
