AI Summary

The Compliance BCBA will conduct independent audits of clinical documentation within the EMR system to ensure ethical service delivery and medical necessity. They will provide structured, written audit summaries to clinic leadership to identify compliance risks and documentation gaps.

Position Overview

Kinder Konsulting is seeking an experienced Board Certified Behavior Analyst (BCBA) to serve in a Compliance and Quality Assurance role focused on documentation integrity, ethical service delivery, and audit readiness.

This position is non‑clinical, non‑billable, and advisory in nature. The Compliance BCBA will not provide direct services, supervise staff, or manage clinicians. Instead, this role exists to provide independent, objective review of clinical documentation within our EMR system and to deliver clear, written audit summaries to clinic leadership.

We are a small early‑childhood clinic serving approximately 30 clients total, primarily in clinic and childcare settings. Our goal is to ensure services are ethical, individualized, medically necessary, and defensible in the event of an audit.

Primary Responsibilities

Clinical Documentation & EMR Auditing

  • Review ABA documentation within the EMR system
  • Evaluate session notes, treatment plans, and progress documentation for:
    • Individualization and client‑specific content
    • Alignment with treatment goals and medical necessity
    • Evidence of meaningful progress (or lack thereof)
  • Identify patterns indicating:
    • Copy‑and‑paste or templated documentation
    • Insufficient clinical justification
    • Misalignment between goals, services, and outcomes

Ethical & Practice Oversight

  • Review documentation through the lens of the BACB Ethics Code
  • Identify potential ethical concerns related to:
    • Service delivery
    • Supervision practices
    • Convenience‑based or poorly justified clinical decisions
  • Ensure records reflect ethical, appropriate, and professionally sound ABA services

Parent, Caregiver & Teacher Training Review

  • Confirm that parent training and/or teacher training is occurring when required
  • Verify that training is adequately documented
  • Identify gaps between authorized services and documented delivery

Audit & Compliance Readiness

  • Review records with a Medicaid and commercial insurance audit‑defense lens
  • Identify compliance risks related to:
    • Documentation quality
    • Medical necessity
    • Authorization alignment
    • Supervision requirements
  • Flag trends or patterns that may pose audit or recoupment risk

Written Deliverables (Core Function of the Role)

  • Provide structured, written audit summaries only
  • Deliverables may include:
    • Client‑level documentation audit summaries (as needed)
    • Periodic BCBA‑specific documentation reviews (approximately four BCBAs)
    • Written identification of compliance risks, ethical concerns, and documentation gaps

Role Boundaries & Authority

  • Advisory and evaluative role only
  • No staff supervision, coaching, or discipline
  • No direct communication with BCBAs regarding findings
  • No clinical decision‑making authority
  • Required Qualifications
  • Significant experience in ABA service delivery and documentation
  • Prior experience in a supervisory, clinical lead, program director, or QA role
  • Strong working knowledge of the BACB Ethics Code
  • Experience with early childhood populations
  • Exceptional attention to detail
  • Strong written communication skills
  • Comfort critically reviewing other clinicians’ documentation

Preferred Qualifications

  • Knowledge of Medicaid ABA billing requirements (Florida preferred)
  • Familiarity with commercial insurance documentation standards
  • Prior experience with:
    • Clinical audits
    • Quality assurance or compliance roles
  • Experience working within an ABA or behavioral health EMR system

Work Structure & Time Commitment

  • Fully remote
  • Contract (1099) position
  • Flexible, self‑directed schedule
  • Average commitment of approximately 8–10 hours per week

Hours may fluctuate based on clinic needs:

  • Initial time commitment may be slightly higher as documentation patterns are reviewed and expectations are established
  • Over time, as documentation quality improves and systems stabilize, the need for intensive review is expected to decrease
  • Some weeks may require as few as ~5 hours, while temporary increases may occur with onboarding or clinic changes

Ideal Candidate Profile

This role is well‑suited for a BCBA who:

  • Is highly detail‑oriented and analytical
  • Is comfortable identifying documentation and compliance concerns
  • Values ethical practice and audit readiness
  • Wants autonomy and schedule flexibility
  • Is stepping away from direct therapy or supervision
  • Is a stay‑at‑home parent, semi‑retired, or retired clinician seeking meaningful part‑time work
