About the role

Handles scheduling and client communications across time zones, prepares and submits loan applications, and verifies borrower information. Maintains accurate records in MyCRM and SharePoint, ensuring compliance and data integrity. Coordinates with lenders, appraisers, and onshore teams, tracks loan status, and delivers professional pre‑ and post‑settlement client service.

Job Responsibilities

• Manage remote calendars and schedule meetings across multiple time zones.
• Save incoming emails and correspondence to client files; maintain version control and consistent filing conventions.
• Rename, organize, and index documents to ensure easy retrieval and auditability.
• Prepare and file loan applications, disclosures, and closing documents in secure systems.
• Maintain accurate client records in MyCRM and SharePoint; ensure data integrity and offshore data handling compliance.
• Gather and verify borrower information (income, assets, credit history) and ensure file completeness.
• Submit loan applications to lenders and track status, conditions, and deadlines; coordinate with onshore teams as needed.
• Communicate loan status updates to borrowers, real estate agents, and internal staff across time zones.
• Order appraisals/valuations as required; coordinate with appraisers and stakeholders for timely delivery.
• Assist with pricing scenarios options to lenders and clients.
• Ensure documents meet regulatory and company policy requirements.
• Deliver exceptional service via email maintain professional, culturally aware communication Pre settlement and post settlement communication incl updates congratulation emails. Etc.
• Collaborate with onshore underwriters, processors, and loan officers to ensure smooth file flow.
• Leverage MyCRM and FileInvite workflows to manage client interactions and document collection.

Requirements

Qualifications:

• Minimum of 2 years’ experience in Australian mortgage broking
• Proficiency with CRM systems (MyCRM preferred)
