The Opportunity
 
The Associate, Grant Operations is a core member of the Grants team, responsible for supporting the accurate, compliant, and timely processing of grant recommendations across the full grantmaking lifecycle. This is a processing-focused role that works closely with the Senior Associate and Officer to ensure grant workflows run smoothly, documentation is current, and service levels are met. The Associate also contributes to process improvement and team operations. 
 
The Associate, Grant Operations role is a full time, remote position and can work from anywhere in the US with work hours aligning with Eastern Standard Time (9-5:30 with some flexibility).  As a remote, people-first culture, we care deeply about our team members’ connections to one another and as such, travel 2-3 times per year to company events will be required.  



Key Responsibilities

Grants Due Diligence & Processing 
  • Execute day-to-day grant recommendation processing, ensuring entries are accurate, compliant, and completed on time 
  • Conduct grantee due diligence to verify eligibility, including use of GuideStar, IRS Publication 78, and other research tools 
  • Review and update electronic payment details for grantee organizations as requested 
  • Assist with weekly grant approvals and grant letter processing in coordination with the team 
  • Run standard reports to support weekly grant posting and reconciliation 
  • Identify and escalate process issues and errors for timely resolution 
  • Ensure all grant documentation is complete and accurately recorded in the DAF system 
Special Grants Support 
  • Provide processing support for special grant types, including international grants and expenditure responsibility grants, in accordance with established procedures 
  • Assist with tracking reporting requirements and payment schedules for grant recommendations  
  • Support documentation preparation for intermediary workflows following established workflows 
 Grant Payment & Reporting 
  • Support grant payment processing and documentation in the DAF system, ensuring records are accurate and current 
  • Assist with tracking outstanding grant payments and escalating reconciliation issues for timely resolution 
  • Contribute to payment reporting tasks  
 Client Service & Cross-functional Collaboration 
  • Respond to donor and advisor inquiries related to grant processing in a timely and professional manner 
  • Utilize the ticket management system for transparent and timely processing of all responsibilities 
  • Apply sound judgment to apply sound judgment to escalate issues and requests appropriately 
  • Contribute to process improvement initiatives and documentation updates  
  • Handle additional research, special requests, and ad hoc duties as required 


Qualifications

Education and Experience: 
  • Associate or bachelor's degree in finance, business, economics, or related field; minimum 3 years of experience in an operations, finance, data entry, or client service role; or equivalent combination of education and experience 
  • Experience with donor-advised funds and grantmaking best practices is preferred 
 Knowledge and Skill Requirements: 
  • Basic understanding of grantmaking processes, DAF operations, and financial services; willingness to develop deeper expertise over time 
  • Strong organizational skills and attention to detail; ability to manage competing priorities in a deadline-driven environment 
  • Resourceful and investigative mindset, willing to research questions and escalate when needed

  • Strong sense of accountability and personal integrity; maintains confidentiality and acts in the best interest of the organization 
  • Proficiency with Microsoft 365 applications including Excel, PowerPoint, Word, Teams required. 
  • Proficiency with cloud-based collaboration tools Box and Asana preferred.  
  • Experience working in a remote working environment  
  • Passion for impact investing and using capital to create social and environmental change
