This is a remote position.
The Remote Administrative Service Representative is responsible for providing essential administrative support to the organization, ensuring smooth day-to-day operations. This position involves managing various administrative tasks such as data entry, client communication, document preparation, and maintaining records—all performed remotely. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently.
Provide general administrative assistance to various departments, including data entry, file management, and document preparation.
Organize and maintain digital files, records, and databases for easy access and retrieval.
Prepare and format reports, presentations, and other documents as requested by team members.
Assist with scheduling and coordinating virtual meetings, appointments, and events.
Serve as the first point of contact for customers or clients, responding to inquiries via phone, email, or live chat.
Provide exceptional customer service by addressing questions, processing requests, and ensuring clients receive timely information or assistance.
Resolve client issues in a timely and professional manner, escalating concerns to the appropriate team members when necessary.
Coordinate with internal teams to facilitate communication and ensure tasks are completed on time.
Manage inbound and outbound correspondence, including emails, calls, and packages, ensuring all communications are handled efficiently.
Assist in organizing virtual meetings, including preparing agendas, taking minutes, and following up on action items.
Accurately enter and update data into various systems, including CRM platforms, spreadsheets, or internal databases.
Maintain accurate and up-to-date records of transactions, communications, and other relevant information.
Monitor and update client information or service records to ensure all files are current and complete.
Assist with billing and invoicing tasks, including ensuring accurate data entry and timely processing.
Help track inventory or office supplies, placing orders as needed to ensure stock is maintained.
Participate in team meetings and contribute to process improvements and administrative efficiency.
Education:
High school diploma or equivalent required; Associate’s or Bachelor’s degree in Business Administration, Communications, or a related field (preferred).
Experience:
Minimum of 1-2 years of administrative experience, preferably in a remote environment or customer service.
Experience using productivity software (e.g., Microsoft Office Suite, Google Workspace, or other business tools).
Previous experience in customer service or virtual assistance is a plus.
Skills:
Strong communication skills (both written and verbal), with an ability to engage clients and team members effectively.
Excellent organizational and time-management skills to handle multiple tasks and deadlines.
Proficient in using office software (e.g., word processing, spreadsheets, email tools, and project management software).
Ability to work independently, troubleshoot issues, and manage responsibilities with minimal supervision.
Detail-oriented with an ability to maintain accuracy while managing data and tasks.
