Description of Responsibilities: The Operations Assistant is responsible for: State and DEA License: Upkeep and renewals Clinic Templating Communication and management of physician on call schedule Operations Vendor(s) Point Person Monitor weekly schedule utilization for Retina, Anterior Segment, and ODs Updating Training Materials Practice + Forms Assisting the Operations Director with MIPS IDEXX scheduling Monitor Vital Interaction Communications Visitor Itinerary Creation Visit scheduling and agenda coordination (e.g., Hotel/Flight/Dinner arrangements) Monitoring Patient Reviews Project Oversight such as Ellkay, Elevators, MDI projects, and others as assigned.  Assist in ACC coverage as needed. Other duties as assigned. Requirements: Knowledge of organizational policies and procedures. Ability to speak clearly and concisely. Exceptional customer service skills. Ability to establish and maintain effective working relationships both in-person and remotely with patients, employees and the public. Ability to operate computer, webcam and printer. Knowledge of secretarial practices. Ability to exercise judgment, initiative and problem-solving skills. Professional communication with internal and external contacts and patients. Attention to detail and accuracy in a fast-paced, multi-tasking environment is essential. Ability to prioritize multiple tasks at once. Knowledge of proper grammar, spelling and punctuation. Typical Physical Demands: Requires normal range of vision and hearing for telephone and patient contact.  Work may require sitting, stooping, bending, reaching for files and viewing computer terminal for extended periods of time.  Occasionally lifting files and paper weighing up to 20 pounds.  Requires manual dexterity to operate a keyboard, telephone, copier, and other office equipment.  Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions. Typical Working Conditions: Work is performed in a remote office environment.  Involves patient contact over the phone along with remote contact with physicians and staff.  Work may be frequently fast-paced, and contact may be dealing with a variety of staff and patient personalities.  Must possess ability to work in a team environment as well as ability to accept constructive criticism from supervisors and physicians.  Health and Safety Know and follow all safety rules and procedures. Follow proper Workplace Ergonomics. Report any unsafe act or workplace conditions. Confidentiality Ensure HIPAA compliance. Pay Range: $22.8 -$33.37  QualificationsExperience Requirements: Two years operations experience in a healthcare setting is required. Knowledge of medical terminology required. Proficiency with Microsoft Office products and web-based video conferencing software required. Educational Requirements: High School Diploma or equivalent Required Licenses / Certifications: N/A
