Accounting & Bookkeeping Specialist (Multi-Industry)

Remote · Monday–Friday, 9am–6pm (Pacific, Central, or Eastern) · $1,250/month for the first 90 days, then $1,500/month

Some of the roles we hire for have a client ready to go right away. Others don't yet. Either way, you go through the same process. If there's no client yet, we're building a group of people we've already gotten to know, so we can move fast the moment one shows up. Your recruiter will tell you plainly which situation applies to you.

What this job actually is

Somebody has to make sure the numbers are actually right, every month, without anyone having to ask. Transactions get coded. Accounts get reconciled. Bills get paid, invoices get chased, and the close happens on a schedule instead of whenever there's time. That somebody is you.

This shows up differently depending on the business. The chart of accounts looks different, the transaction volume looks different, sometimes there's a CPA in the loop and sometimes you're closer to the finance lead yourself. What doesn't change is the standard: the books are clean, the close is on time, and if something doesn't tie out, you say so instead of forcing it.

What you'll actually do

  • Code transactions consistently so the same expense hits the same account every time
  • Reconcile accounts on a set monthly cadence, and actually investigate a variance instead of plugging it
  • Handle AP and AR: pay bills on time, invoice promptly, and follow up on anything unpaid without being asked
  • Run month-end close against a checklist, and produce a short summary of what happened
  • Keep cash and finance reports going out on schedule, with anything unusual called out plainly
  • Flag a problem the moment you see it, even when it's not technically your mistake to fix

Requirements

What we're actually looking for

  • 3+ years of hands-on bookkeeping or accounting work where you personally owned the ledger, not just supported someone who did
  • Real time inside QuickBooks Online and/or Xero, doing the actual reconciliation and close work
  • Comfortable enough in Excel or Google Sheets to build a formula without looking it up every time
  • Experience running or contributing to a month-end close on a real, recurring cadence
  • Your written and spoken English is genuinely fluent, not "good enough"
  • Experience with US GAAP basics, US payroll, 1099s, or a CPA relationship is a plus, not a requirement

  • Internet that doesn't drop calls
  • You close on schedule because that's who you are, not because someone's watching
  • If a number doesn't tie out, you say so before the deadline, not after
  • You document the judgment calls instead of keeping them in your head

  4. A couple of short take-home exercises. Nothing sneaky, nothing that eats your evening.
  5. A reference check, from someone who actually managed or worked closely with you, not a character reference.
  6. If a client's ready: one interview with them. They make the final call, but you don't repeat anything you've already done here.

Here's the honest part, in plain terms: sometimes when you finish this process, there's no job waiting yet. That's not a runaround, it's how we work. We'd rather spend the time getting to know good people properly now, so that when a client comes looking for someone like you, we already know you're ready. If that's your situation, you won't be left guessing. We'll tell you honestly where things stand, including when the honest answer is "nothing new yet." And if you take another job while you're waiting, that's fine, just tell us.
