Compensation: $1000 – $1,500 USD/month (commensurate with experience)
Experience Level: Early-to-mid career (3+ years in construction accounting or bookkeeping)
About the company & the role
Our client is real estate development and construction firm that handles full-cycle projects—from land acquisition and financing to horizontal/vertical construction and property management. As we scale our pipeline from 4 to 7 concurrent projects, we are hiring a remote Accounting Assistant (Construction) to take full ownership of our financial draw cycles, budget reporting, and operational coordination.
Key Responsibilities
Financial Draws & Reporting: Prepare bi-weekly and AIA-formatted draw requests ($G702/G703$) for bank and owner submissions. Maintain accurate budget tracking, cost-to-complete analyses, and financial documentation across 4–7 active projects.
Bookkeeping & Software Management: Manage day-to-day entries, invoice processing, job costing, and ledger maintenance within QuickBooks Online and construction management software.
Vendor & Subcontractor Coordination: Manage lien waivers, payment schedules, and routine financial outreach with subcontractors and suppliers via email, phone, and video calls (Zoom/Teams/Google Meet).
Pre-Construction & Procurement: Assist with vendor bidding reconciliation, quote aggregation, purchase orders, and financial project setup.
Operational Admin: Coordinate leadership calendars related to financial deadlines and perform day-to-day administrative tasks to support project delivery.
Qualifications & Requirements (Must Have)
Mandatory Background: Minimum 3 years of direct experience in construction accounting, bookkeeping, or project financial support.
Financial Acumen: Strong understanding of construction workflows, draw cycles, job costing, and budget tracking.
Software Proficiency: High proficiency in QuickBooks Online; familiarity with construction management, scheduling, or estimating platforms is required.
Communication: Business-fluent written and spoken English with the confidence to communicate with US-based owners, lenders, and vendors via video and phone.
Work Ethic: Exceptionally detail-oriented and self-directed, capable of managing multiple financial schedules independently in a remote setup.
