About the role
We are seeking a detail-oriented and organized Sales Administrator to support our sales team and ensure the smooth execution of day-to-day sales operations. This role is responsible for managing sales processes, maintaining accurate records, and acting as a key point of coordination between customers, sales representatives, and internal teams.
The Sales Administrator plays a critical role in enabling the sales team to focus on revenue-generating activities by handling administrative, operational, and customer-related tasks. This position is ideal for someone who thrives in a fast-paced environment and enjoys working across multiple functions to ensure seamless operations.
This role will support full eastern (US Eastern - EST/EDT) overlap – 9 am to 5 pm.
Responsibilities
- Process sales orders, quotes, and invoices accurately and in a timely manner
- Maintain and update customer records, contracts, and sales documentation
- Serve as a point of contact for customer inquiries, order status updates, and issue resolution
- Coordinate with internal teams (e.g., finance, operations, logistics) to ensure timely order fulfillment
- Prepare and maintain sales reports, dashboards, and performance metrics
- Manage CRM (Salesforce) systems and ensure data accuracy and completeness
- Support the sales team with administrative tasks such as scheduling meetings and preparing materials
- Assist with tracking sales targets and pipeline activity
- Identify and support process improvements within sales operations
Qualifications and Requirements
- Diploma or degree in Business Administration, Sales, or a related field (preferred)
- 2-4 years of experience in a sales support, administrative, or customer service role
- Strong organizational skills with a high level of attention to detail
- Excellent written and verbal communication skills
- Proficiency in Microsoft Excel / Google Sheets and CRM systems (e.g., HubSpot, Salesforce)
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment
- Customer-focused mindset with strong problem-solving abilities
- Ability to work independently and collaboratively within a team
