We're looking for a short-term, dedicated hire to get our contract management system up and running. This is a temporary role. Availability for 20 to 40 hours per week, fully dedicated, for a minimum of 3 months (with a check-in at 3 months to reevaluate scope and continuation).


We signed up for Luminance, an AI-powered contract management system, at the start of the year and are looking for a systems-savvy partner to help us bring the system fully online. This role owns the Luminance project end-to-end: gathering contracts from every property and home offices, building out a clean and organized data room, configuring the rules that make the system useful (auto-renewal alerts, expiration notifications by property), and getting GMs and other end users trained and comfortable in the platform.


This is primarily an admin and systems role, not a legal one. Our legal team will train you on what to look for in a contract, and the platform itself reads and processes contracts automatically. Your job is to build the system, organize the data, and help us to launch the program companywide.

What exactly you will be doing...

In helping you understand your role in working for a world-class organization, the following is a list of your essential job responsibilities.  Please keep in mind that this list is not all-inclusive and that you may be asked to perform other job tasks by your manager not listed below in the constant quest to provide “out of this world” customer service experience for our guests:

System Setup & Data Organization:

  • Gather contracts from every property and the home offices into a centralized data room.
  • Upload, clean, and organize all contract data within Luminance.
  • Validate what belongs in the system as Luminance processes and reads contracts automatically.

Configuration & Automation:

  • Configure system rules, including auto-renewal alerts and expiration notifications by property.
  • Build out the workflows and settings that make Luminance genuinely useful day-to-day, not just a repository.

Training & Adoption:

  • Coordinate and lead training sessions for GMs and other end users across the portfolio.
  • Serve as the go-to resource for questions as teams get comfortable in the platform.

Project Ownership:

  • Own the project timeline and drive it to completion with minimal oversight.
  • Work independently and proactively, flagging risks or blockers before they become problems.

  • Strong systems aptitude, comfortable learning and configuring new platforms independently.
  • A project management mindset: self-motivated, proactive, and able to own the work autonomously.
  • Comfortable working independently and remotely with minimal day-to-day supervision.
  • Full dedication to this engagement for its duration, no splitting time across other roles or clients.

Background must-haves:

  • Current,legal and unrestricted ability to work in the United States.
  • The role is open to U.S.-based remote candidates, with a preference for Miami-based talent. 
  • Demonstrated experience setting up, configuring, or administering a business software platform is required.
  • Experience with vendor or service contracts is preferred.
  • Legal background (paralegal, junior lawyer, or law firm admin experience)is a plus.
