This role exists to remove that constraint. You will work across project management, delivery, client reporting, internal operations, and recruiting to design and build the automation and infrastructure that lets those functions run on systems instead of manual effort.
AI powers the systems. Judgment powers what gets automated and how. Anyone can wire up a workflow. The job is knowing which manual process is actually worth automating, building it so it holds up in production, and making the people using it trust it enough to rely on it.
This role reports directly to the AI Practices Lead and executes within the automation roadmap they set.
What You’ll Own
Execution of the automation roadmap set by the AI Practices Lead: you are the builder who turns priorities into working systems, in close collaboration with the teams who will use them
Automation and supporting infrastructure for project management and delivery, including how work status, timelines, and handoffs move through the agency
Client reporting dashboards and internal agency dashboards, built to be accurate and low-maintenance rather than requiring manual updates
Capacity planning tooling that gives leadership a real-time, reliable view of team load
Automation supporting recruiting workflows, from pipeline tracking to candidate communication
Internal and external communication systems, reducing the manual coordination overhead that slows the agency down
Flagging what should be automated next, based on where you see teams losing time to repetitive manual work
How Success Is Measured
Automations on the roadmap ship and go live, on the timeline the AI Practices Lead sets
Dashboards and systems you build are trusted and used daily by the teams they serve, not abandoned after launch
Manual, repetitive work measurably decreases across project management, reporting, capacity planning, and recruiting
Systems you build keep running without you: low-maintenance, well-documented, and stable in production
You become the person teams go to when a manual process is costing them real time
Key Responsibilities
Design, build, and maintain automation and infrastructure for project management and delivery workflows
Build and maintain client reporting dashboards and internal agency dashboards, connected to real data rather than manually updated
Build capacity planning tools and systems that track team load across active work
Build automation to support recruiting: pipeline tracking, candidate communication, and reducing manual coordination
Improve how information and communication move through the agency, both internally and with clients
Work directly with the teams affected by each system you build, so what ships actually fits how they work
Maintain and troubleshoot systems in production, not just at launch
Continuously identify and propose the next highest-leverage process to automate
Must-Have:
Demonstrated experience building automation and internal tooling in a production environment, not just personal projects
Strong systems thinking: you can map how information and work actually move through an organization, not just build one workflow in isolation
Comfortable working across multiple internal stakeholders (PM, delivery, recruiting, leadership) to understand what a process actually needs before automating it
Can explain why a given process is worth automating and why a specific solution is the right one, not just that it works
Experience with dashboarding and reporting tooling
English fluency sufficient for daily collaboration with a US-based team
Nice-to-Have:
Experience in an agency, professional services, or client-delivery environment
Experience building recruiting or HR-adjacent automation
Familiarity with AI/LLM-based tooling and agent workflows, beyond traditional scripting or RPA
Experience standing up systems from scratch in a lean, fast-moving environment
