Key Responsibilities:

  • Administrative Support

    • Provide general administrative support to executives, department heads, and team members, ensuring all tasks are completed efficiently.

    • Manage and organize documents, files, reports, and presentations using cloud-based systems (Google Drive, Dropbox, etc.).

    • Prepare and proofread written communication, including emails, meeting agendas, and reports.

  • Scheduling & Calendar Management

    • Manage the calendars of executives or teams, scheduling appointments, meetings, and conference calls.

    • Coordinate and confirm schedules for internal and external meetings, ensuring no conflicts or missed appointments.

    • Send reminders for appointments and meetings, ensuring that all necessary materials or resources are prepared in advance.

  • Communication & Liaison

    • Serve as a key point of contact for internal and external communications, ensuring all inquiries are addressed promptly and professionally.

    • Manage incoming emails and phone calls, responding as needed or directing them to the appropriate person or department.

    • Assist with internal communication, facilitating information flow between teams and departments.

  • Office Operations & Supplies

    • Oversee the remote office's operational needs, ensuring employees have access to the tools and resources they need to work efficiently.

    • Order and manage office supplies, ensuring that inventory levels are maintained and equipment is functioning properly.

    • Coordinate technology needs for the remote team, including troubleshooting minor issues and working with IT to resolve technical problems.

  • Project Coordination

    • Assist with coordinating and tracking the progress of ongoing projects, ensuring deadlines are met and tasks are completed on time.

    • Collaborate with different departments to ensure smooth operations and timely completion of projects.

    • Organize resources and materials for projects, such as meeting documents, files, and other relevant materials.

  • Data Entry & Database Management

    • Maintain and update company databases, ensuring that information is accurate and easily accessible.

    • Perform regular audits of company data to ensure integrity and compliance with company policies.

    • Assist with tracking metrics, generating reports, and managing project documentation.

  • Event & Meeting Coordination

    • Organize virtual meetings, webinars, and events, including coordinating logistics, sending invitations, and managing RSVPs.

    • Ensure that all necessary tools (e.g., video conferencing software) are set up and running smoothly for virtual meetings or events.

    • Prepare meeting agendas, take meeting minutes, and distribute follow-up notes to ensure action items are tracked.

  • Human Resources Support

    • Assist in onboarding new employees by preparing materials, setting up necessary accounts, and ensuring smooth transitions.

    • Help manage employee records and assist with HR-related administrative tasks, including time tracking, benefits administration, and compliance documentation.

  • Expense & Budget Tracking

    • Assist with managing office-related expenses, tracking costs, and helping with budget management.

    • Process invoices, receipts, and reimbursements for the office team, ensuring accuracy and timely processing.

    • Help maintain a budget for office supplies, technology tools, and operational costs.



  • Requirements

  • High School Diploma or Equivalent (Required); Bachelor's Degree (Preferred)

  • 2+ years of experience in an administrative, office coordination, or project management role, especially in a remote work environment.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and virtual communication tools (Zoom, Slack, etc.).

  • Experience with project management tools (e.g., Asana, Trello, Monday.com) is a plus.

  • Excellent organizational and multitasking skills, with the ability to manage multiple priorities at once.

  • Strong written and verbal communication skills, with a focus on professionalism and attention to detail.
