Information Governance Specialist - Legal Records
Location: Downtown Houston, TX
Schedule: Hybrid - 3 days in office / 2 days remote
Compensation: Up to $76,000 + bonus
Employment Type: Full-Time
About the Opportunity
A highly respected law firm in Downtown Houston is seeking an Information Governance Specialist to join its dedicated Information Governance team.
This is not a traditional legal file clerk position. The majority of the firm's client and matter information is electronic, and this role will focus heavily on electronic records, document management, data transfers, records compliance, and information security.
The ideal candidate will have 3-9 years of experience in Information Governance, Records Management, or a similar legal environment, along with strong experience working with electronic files and document management systems. This is an excellent opportunity for someone who has a solid foundation in IG and wants to continue developing their career within a sophisticated legal environment.
What You'll Do
- Manage and maintain electronic client and matter records in accordance with firm policies and established information governance procedures.
- Work extensively with electronic documents, emails, matter workspaces, and other digital content.
- Process and manage large electronic data transfers, including importing, exporting, and transferring client/matter data.
- Assist with the opening, organization, maintenance, transfer, closing, and disposition of electronic matter files.
- Ensure records are maintained in compliance with firm retention, disposition, and information governance policies.
- Assist with records security and the appropriate handling of confidential and sensitive client information.
- Support the firm's document and records management systems and help ensure information is properly categorized and organized.
- Provide guidance and support to attorneys, paralegals, and legal staff regarding electronic file organization, document management, searches, and records procedures.
- Respond professionally and promptly to questions and requests from attorneys and internal clients.
- Identify records management or system issues and coordinate with appropriate internal teams to resolve them.
- Assist with records retention, disposition, destruction, and off-site storage activities.
- Maintain accurate records and documentation related to information governance activities.
- Participate in department projects and process improvements as assigned.
What We're Looking For
- 3-9 years of professional experience in Information Governance, Records Management, Document Management, or a related legal environment.
- Extensive experience working with electronic files and electronic records - this is a critical requirement.
- Hands-on experience with iManage or NetDocuments is highly preferred.
- Experience with large-scale electronic data transfers, imports/exports, or migrations.
- Understanding of records retention, compliance, disposition, and information security.
- Previous experience working in a law firm or legal environment strongly preferred.
- Excellent communication skills and the ability to interact professionally and confidently with attorneys and other legal professionals.
- Strong attention to detail and a high level of accuracy.
- Excellent organizational and time-management skills.
- Strong Microsoft Office and overall computer skills.
- Ability to manage multiple priorities while maintaining a high level of service.
- Strong work ethic, reliability, and a willingness to learn and take ownership of responsibilities.
