The Systems Administrator and Analyst will serve as a key technical expert responsible for the administration, configuration, and optimization of the PeopleSoft Campus Solutions system within the college, ICMS. The role will report directly to the CIO and work closely with the IT Software business unit within the IT and Data Analytics department. The role will ensure the system’s smooth operation and alignment with institutional goals as outlined in the strategic plan. The Administrator and Analyst will support essential business processes such as student enrolment, record management, etc collaborating extensively with internal stakeholders across academic and administrative departments.

This role will oversee system maintenance, upgrades, and security while also performing business analysis to identify opportunities for process improvement and system enhancements. The Administrator will facilitate data reporting and analysis, ensuring accurate and timely delivery of institutional reports while safeguarding data integrity. Additionally, the role will act as the technical liaison between IT, business stakeholders, and external vendors, ensuring that PeopleSoft remains a reliable and effective tool for the college's operational and academic success.

Duties and Responsibilities:

Accountabilities:

1. Project Management: Manage projects related to new module implementations, system upgrades, and enhancements, ensuring timelines, budgets, and goals are met utilising Jira and Confluence

2. System Control Group Management: Run the system control group by setting up regular meetings, producing agendas and meeting notes, documenting outcomes and following up with stakeholders

3. Maintain System Integrity: Ensure the smooth operation and security of the PeopleSoft Campus Solutions system, including monitoring system performance, applying patches, updates, and upgrades.

4. Configuration Management: Configure and customize PeopleSoft modules (e.g., Campus Community, Student Records, Admissions, Student Financials) based on institutional needs and regulatory requirements.

5. User Access & Security: Manage user roles, security settings, and access permissions within the system, ensuring data privacy and compliance with educational regulations.

6. Troubleshooting and Problem Solving: Provide Tier 2/3 support, diagnosing and resolving system-related issues and collaborating with Oracle Support when necessary.

7. Data Integrity and Audits: Ensure data accuracy, integrity, and security within the Campus Solutions system, conducting regular data audits and clean-up efforts.

8. Integration Management: Ensure proper integration between PeopleSoft and other institutional systems (e.g., Salesforce, Moodle, Microsoft Dynamics).

9. Requirements Gathering: Collaborate with key business stakeholders, such as Registrars, Admissions, and Student Services teams, to understand and document system requirements.

10. Business Process Improvement: Analyse current processes and workflows, identify areas for improvement, and recommend system enhancements to optimize the institution’s administrative and academic functions.

11. System Design and Development: Work with developers to design and implement new features or changes in the Campus Solutions system, ensuring alignment with institutional goals.

12. Testing & Quality Assurance: Develop and oversee testing plans for new system functionality, bug fixes, and upgrades, ensuring rigorous quality control.

13. Reporting and Analytics: Work with the Data Analytics team to generate and automate institutional reports (e.g., enrolment data) using tools such as PeopleSoft Query, SQL, or integration with Power BI.

14. Cross-Departmental Collaboration: Serve as the primary liaison between the IT and Data Analytics department, academic departments, administrative offices, and external vendors, ensuring smooth communication and implementation of system changes.

15. Training: Undertake regular Oracle PeopleSoft Campus Solutions training and certifications to ensure up to date knowledge and skills with the system

16. End-User Training: Develop training materials and conduct workshops or one-on-one training sessions for campus users to ensure effective and efficient use of the PeopleSoft system.

17. Disaster Recovery Planning: Develop and maintain disaster recovery strategies and business continuity plans for Campus Solutions, including backup processes.

18. Documentation: Maintain comprehensive documentation of system configurations, modifications, and processes to support future troubleshooting and system changes.

19. Culture: Build strong constructive culture by exemplifying the company values, and participating in department and organisation wide initiatives connecting with other staff and working collaboratively with them

Institutional Responsibilities

• Familiarise yourself with relevant policy and procedures held in the Institutional Policy Register and adhere to all guidelines within that are relevant to your area

• Understand and comply with relevant legislation such as the HESF 2015, ESOS Act 2000, National Code 2018 and HES Act 2003.

Requirements

Skills / Qualifications:

• At last 3+ Years of experience in PeopleSoft: Hands-on experience as a PeopleSoft Systems Administrator and/or Analyst in a higher education environment, focusing on Campus Solutions modules.

• Technical Problem Solving: Strong analytical and troubleshooting skills to diagnose issues in the PeopleSoft environment and develop effective solutions.

• System Configuration & Customization: Ability to configure and customize PeopleSoft modules based on institutional requirements.

• Project Management: Ability to manage projects related to system enhancements, upgrades, and new implementations, including developing timelines, resource allocation, and delivering on project goals.

• Collaboration & Communication: Excellent interpersonal and communication skills for working with cross-functional teams, including technical staff, academic administrators, and business stakeholders.

• Confidentiality & Integrity: Experience in maintaining confidentiality around sensitive information displaying integrity and trustworthiness in business relationships

• Training & Documentation: Skills in developing user documentation and providing training to non-technical users on PeopleSoft functionality and processes.

• Attention to Detail: Highly detail-oriented with a focus on maintaining data integrity and accuracy in system configurations and reporting.

• Change Management: Ability to work within a structured change management process for system changes, upgrades, and patches.

• Working Style: Self-motivated, can work with minimal supervision and maintain performance under pressure

• ERP System Upgrades: Experience in upgrading ERP systems, particularly Oracle PeopleSoft, including module setup, customization, and configuration.

• System Integration: Experience in integrating PeopleSoft with other systems (e.g., identity management systems, learning management systems, financial systems).

• Project Management: Experience managing or contributing to technology projects in a higher education setting, from requirements gathering to implementation and post-launch support.

• Database Management: Experience working with relational databases (e.g., Oracle DB) and using SQL for data extraction, reporting, and analysis.

• Support & Troubleshooting: Proven experience providing technical support for applications, diagnosing, and resolving system issues in collaboration with Support.

• Microsoft 365: Experience with Microsoft 365 applications e.g. Outlook, Word, Excel

Highly Advantageous:

• Bachelor’s Degree: A degree in Information Technology, Computer Science, or a related field.

• PeopleSoft Certifications: Oracle certifications in PeopleSoft Campus olutions, PeopleTools, or other related PeopleSoft areas are highly desirable.

• Project Management Certifications: PMP (Project Management Professional) or similar certifications is advantageous

• Database Certification: Certification in Oracle Database management or administration is advantageous.

• Other ERP Systems: Experience or certifications in other ERP systems is valuable
