The primary responsibility of the Proposal and Marketing Manager is to work with internal sales members to develop standout RFP responses and new business presentations. The Proposal Manager is responsible for all RFI/RFP opportunities that require a formal response. You will work with the sales team to develop an overall strategy and approach to the response, as well as presenting the best product solutions to our Clients. The Proposal Manager's primary goal is to ensure compliance with the RFP requirements, prepare written responses, collaborate with graphic designer to produce finished RFP response, guide estimating and pricing departments in pricing/rate structure development when needed, maintain the RFP information repository (Conga/Collaborate), ensure timely submission of all customer RFP deliverables, and help create follow-up materials or responses if and when the submitted RFP response is chosen as a viable prospect solution. The successful candidate will be a creative and strategic thinker, excellent project manager, and a superior communicator, especially via the written word. He/she will be responsible for proposal planning, writing responses to specific RFP questions, proposal and presentation production and delivery, management of assigned internal resources and consultants, proposal and presentation process improvement, and maintaining/improving the RFP answer database. Ideal candidates will have a proven record of success in managing and winning complex proposals.
Ability to create compelling RFP responses and presentations that are tailored to each opportunity.
General overall proposal response management.
Ensure compliance with the RFP requirements, prepare written responses, develop and maintain the required outline of the RFP and ensure timely submission.
Ability to create and/or work with a design resource to create product collateral, standard RFP templates and PowerPoint decks.
Coordinate content from pricing and estimating departments along with other RFP contributors.
Manage the entire process for major proposal efforts including leading the proposal team, tracking proposal submittals, scheduling and planning, developing winning themes, writing RFP responses, measuring success, developing creative packaging, monitoring status of pending RFP's and tracking deadline dates.
Manage kick-off meetings and proposal reviews.
Confirm availability of proposal resources needed from each contributor and her/his functional manager.
Create and maintain accurate and persuasive content to be used in RFP documents.
Provide writing templates to guide proposal contributors. Hold work-sessions with proposal contributors to discuss writing templates and the content desired.
Conduct quality assurance/quality control on proposals.
Ensure proposal activities are executed in accordance with pertinent legal regulations and Company policies/procedures, and, where permissible, tailor processes and procedures as required by the size, scope, scale and timing of the opportunity.
Coordinate with manager of Qvidian proposal tool to ensure inventory of RFP responses, key company facts and graphics are updated on an ongoing basis.
Strong interpersonal skills and exceptional writing skills.
Manage RFP Team members.
Bachelor's Degree (Marketing, Communications or related field preferred).
Minimum of 3 years of experience as a proposal manager with experience managing the proposal process from start to finish.
Experience with agency/publisher proposal development preferred.
Experience preparing PowerPoint presentations and working with Excel.
Expert-level desktop publishing skills using Microsoft Word.
A strong sense of organization and time/deadline management with strict attention to detail.
An extraordinary customer service ethic with strong business acumen.
Demonstrated flexibility to manage multiple tasks, solve problems and schedule work effectively in a fast-paced, deadline-driven environment.
Proven ability to develop relationships with professionals in a variety of industries.
Excellent written, verbal and interpersonal communication skills.
Demonstrated ability to think creatively and strategically.
Experience using Teams for virtual meetings/conference calls.
SalesForce proficiency a plus.
Commitment to work evenings and weekends to meet proposal deadline. This sometimes requires working evenings and/or weekends on very short notice to meet the changing customer requirements.
