Position JobTitle Program Assistant Work Location Washington, D.C. Job Summary The Program Assistant provides programmatic, data analysis, data visualization, logistical, communications, and administrative support to the GTMFO Innovation Unit. In particular, the Program Assistant will manage input from the Department's 75,000+ employees to the Director General's Innovation Portal, analyze data from submissions and create data visualizations and presentations to synthesize the data for senior Department officials. The Program Assistant will coordinate, prepare, assemble, and track program management documentation for innovation initiatives, liaising with all GTM offices. The Program Assistant will create visually appealing materials - such as guides, toolkits, and internal public relations materials. The Program Assistant will organize and attend meetings and provide other general administrative and programmatic support to assist assigned unit members and other elements within the GTMFO. This may include online meetings through virtual platforms such as Teams and WebEx. This is an entry-mid-level position with some administrative responsibilities. Essential Duties and Responsibilities (Not listed in order of importance other duties may be assigned) and must be able to perform the following with minimal guidance Solicit, acknowledge, track, analyze, and visualize employee input to the Director General's Innovation Portal (utilizing survey monkey and excel, among other mediums). Engage with GTM offices to track implementation of all GTM innovations, preparing related briefing materials, visuals, and other presentations for the Director General and senior Department officials as appropriate. Assist the IU, and other GTM offices as time permits, to create fresh and appealing guides, toolkits, presentations and internal public relations documents (e.g., using the free online graphic design website, Canva). Advise GTM offices on an ad hoc basis on how to utilize Excel and other data tools to analyze information, tell a story, and create compelling infographics and other visualizations. Provide general administrative and programmatic support to the IU, including but not limited to assembling briefing materials, drafting reports and updates, maintaining contactfocal point lists, and scheduling meetings, among other requirements. Assist with logistical and administrative tasks. Support IU members and initiative teams in the development of action plans for initiative implementation. Shepherd documents through the DOS internal clearance processes. Identify, review, analyze and report on relevant research, articles, and reports by outside bodies, including that related to workforce innovation trends, best practices, recommendations, and lessons learned. Support assigned unit members in coordinating human resourcesstaffing requirements, including by scheduling interviews, shepherding hiring paperwork, and scheduling onboarding consultations. Attend all IU team meetings and regular meetings with Front Office principals. Other duties as assigned or required. Education andor ExperienceSkills Required Must possess a high school degree from an accredited institution. Must have 4 years' experience in the below. Superior interpersonal skills and proven ability to work well with others. Excellent and demonstrated written and oral briefing skills. Demonstrated interest in international affairs, public policy, human resources, innovation, or communications. Superior attention to detail and experience meeting tight deadlines in a fast-paced environment. Proficiency with basic office computer programs, including Microsoft Office Suite. Proficiency with basic collaboration tools, including Teams and WebEx. Advanced knowledge of Excel, sufficient to create formulas, analyze data, and produce data visualizations. Desired Qualifications Experience working in an office or other professional setting. Demonstrated professional or academic experience in international affairs, public policy, human resources, innovation, or communications. Experience working with data analysis, data visualization, business intelligence, and other software programs dedicated to analyzing and presenting data, such as Tableau andor Power.BI.
