Easthampton Public School District is seeking a highly organized and detail-oriented individual to join our team as a Personal Assistant. In this role, you will provide administrative support to the superintendent and other key staff members. You will play a crucial role in ensuring smooth operations and maximizing productivity within the district.

As a Personal Assistant, you will be responsible for managing calendars, scheduling meetings, and coordinating travel arrangements. You will also handle correspondence, answer phone calls, and greet visitors. Additionally, you will assist with preparing and editing documents, reports, and presentations. You will serve as a liaison between the superintendent and various internal and external stakeholders, including parents, teachers, and community members.

This position requires a high level of professionalism, confidentiality, and commitment to excellence. The successful candidate will have excellent communication and interpersonal skills, as well as the ability to prioritize tasks and manage time effectively. Strong attention to detail and problem-solving skills are essential, along with the ability to work independently and as part of a team.


Responsibilities

  • Manage the superintendent's calendar and schedule appointments
  • Coordinate and organize meetings, including preparing agendas and taking minutes
  • Make travel arrangements, including booking flights, hotels, and transportation as needed
  • Handle correspondence, including drafting and editing letters, emails, and memos
  • Answer phone calls, provide information, and direct inquiries to the appropriate staff members
  • Greet visitors and provide exceptional customer service
  • Assist with preparing and editing documents, reports, and presentations
  • Liaise with internal and external stakeholders, including parents, teachers, and community members

Requirements

  • Proven experience as a personal assistant or in a similar administrative role
  • Excellent organizational and time management skills
  • Strong attention to detail and problem-solving skills
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Ability to maintain confidentiality and handle sensitive information
  • Excellent verbal and written communication skills
  • Professional demeanor and strong interpersonal skills
  • Ability to prioritize tasks and meet deadlines
  • High school diploma required; associate's or bachelor's degree preferred
  • Familiarity with the education sector is a plus
