Position: Operations Assistant

Working Hours: Full-time; Eastern Time Zone

Salary Range:  USD 800 - USD 1,000/month


The client is an advertising agency, operational excellence is pivotal to their success. Efficient systems are essential for delivering top-notch service to their clients and boosting their team’s effectiveness.

They are looking for an operations assistant to work directly with their COO to optimize systems, cut costs, and improve employee efficiency. The ideal candidate should have a strong background in workflow documentation and operational streamlining, with a focus on efficiency and clarity.


    • Documentation: Taking SOPs from Loom recordings and general comments to granular, specific documentation for our teams. (Thorough documentation for an average of 5 new SOPs a week.)
    • Consolidation: Consolidating our marketing and operations technology stack down to Notion and Hubspot and migrating relevant data and templates to these platforms(Roughly 50% of work the first month and then technology maintenance thereafter.)
    • Reporting: Taking weekly data from campaigns and turning them into actionable reports for clients (Minimum of 3 per week completed every Friday before 3pm ET.)
    • Operationalization: Improving our internal systems in Notion for service deliverability and client communication so they are faster and cheaper (Ongoing process to identify and implement areas of improvement.)
    • Project Management: Effectively manage multiple projects (minimum of 3) at any given time and keep Notion tasks up to date on completed work every single day.
    • Revisions: Complete and review revisions within 24 hours of receiving feedback on work.


  • Must have 1-3 years of experience as an Operations Manager or Assistant.
  • Fluency in English with exceptional written and oral communication skills.
  • Proficient in using Notion, HubSpot, QuickBooks, and Google Suite.
  • Ability to work US hours, preferably Eastern Time (ET).
