Job Description

Community Transit recently migrated email to Exchange Online as the first step to a total migration to Office 365. In the past the RIM Program has led successful email cleanup campaigns that required manual effort and time from agency staff. Staff continues to overstore email. Although cost is no longer a consideration due to the migration, overstorage impacts staff productivity and also increases effort in responding to public disclosure requests. Overstorage also creates additional risk for the agency as it relates to compliance with legal requirements from the state of Washington. We are looking to manage email as a potential format for records using some of the new functionality that Exchange Online offers. We are hoping to leverage a consultant to provide information regarding what functionality exists to help us more effectively manage our email and share insights as to what other companies have implemented as best practices. Teams will be new to our organization and we are seeking similar guidance as to what functionality exists and how we can manage that content as a potential source of record. Our goal for this project is to understand what information governance and records management capabilities exist for email and Teams and gather recommendations for best practices for our agency. Summary of Work The selected consultant will provide a brief summary of the options available within Exchange Online and Teams to help us more effectively manage agency records that might exist in both applications.
