Working Hours: M-F 10:00 AM - 6:00 PM EST

We are seeking a highly skilled and proactive Executive Assistant to support a prominent client with diverse business interests in real estate development and nonprofit initiatives across Latin America. This role offers a unique opportunity to work closely with a dynamic entrepreneur, managing both personal and professional responsibilities with efficiency and discretion.

Scope of the Role 

As the Executive Assistant, you will be responsible for managing various aspects of the executive's daily operations, including travel arrangements, financial tracking, calendar management, document preparation, research assistance, nonprofit support, meeting coordination, event planning, office management, and project support.

Duties and responsibilities:

  • Arrange and coordinate travel logistics, including transportation and accommodations, for both business and personal trips.
  • Monitor and manage invoices, expenses, and budget tracking for various projects and activities.
  • Maintain and organize the executive's schedule, including appointments, meetings, and events, ensuring effective time management.
  • Prepare, review, and organize documents, presentations, and reports, maintaining accuracy and confidentiality.
  • Conduct thorough and confidential research on various topics as needed, providing relevant information and insights.
  • Assist with the management of the client's nonprofit organization, including updates, newsletters, donor relations, and progress tracking.
  • Plan, schedule, and record meeting minutes for both internal and external meetings, ensuring smooth execution and follow-up actions.
  • Coordinate and execute various events, from small meetings to large gatherings, managing logistics and details for successful outcomes.
  • Handle basic office management tasks, including supply inventory, equipment maintenance, and organizational systems.
  • Assist with miscellaneous projects and duties as assigned, demonstrating flexibility and adaptability to changing priorities.

Requirements

  • Proficient in Microsoft Office Suite and Google Suite, with the ability to utilize email and messaging platforms such as WhatsApp effectively.
  • Excellent verbal and written communication skills, with the ability to interact professionally with internal and external stakeholders.
  • Strong attention to detail and organizational skills, ensuring accuracy and completeness in all tasks and documentation.
  • Ability to prioritize tasks and meet deadlines in a fast-paced environment, managing multiple responsibilities effectively.
  • Requires minimal supervision, demonstrating initiative and proactivity in problem-solving and task execution.
  • Comfortable providing feedback and suggestions for process improvement, with a willingness to learn and adapt in a dynamic environment.
  • Minimum 2 years: Previous experience in a high-level Executive Assistant or Operations Assistant role, preferably supporting senior executives in a dynamic business environment.
