We are looking for an experienced Executive Virtual Assistant for an Oil & Gas Supply Service Provider based in UAE.
We are looking for the following specific requirements:
- Minimum of 3+ years of experience as an Executive Virtual Assistant providing end-to-end support to C-Suite and higher management.
- Proficient in financial and bookkeeping tasks, including expense tracking and invoice management.
- Experience in eCommerce
- Advanced proficiency with CRMs and technical tools such as MS Teams, Microsoft Suite, Google Workspace, QuickBooks, and Xero.
- Ability to work 20+ hours per week, aligned with GST timezone.
- Exceptional verbal and written English communication skills.
- Proven experience in developing strong remote team relationships built on trust, accountability, and integrity.
- Highly organized and professional, with the ability to remain calm under pressure.
Requirements
Your responsibilities will include (but are not limited to):
- Calendar and Schedule Management: Organize meetings, manage time zones, and prepare agendas/materials.
- Expense and Invoice Management: Track expenses, manage receipts, and prepare financial reports.
- Email and Communication Handling: Monitor and respond to emails, draft responses, and highlight key messages.
- Document Preparation: Create and organize documents, presentations, and reports professionally.
- Research and Data Gathering: Conduct project research, summarize findings, and prepare insights.
- Lead Management: Search for leads and input data into CRMs accurately.
- Task and Project Management: Track tasks, deadlines, and provide status updates.
- CRM and Systems Management: Maintain client information and update records in CRMs and ERP systems.
- Meeting Coordination: Arrange virtual meetings, coordinate attendees, and follow up on action items.
- Daily Status Updates: Summarize high-priority tasks, new developments, and upcoming deadlines.
- Travel and Event Arrangements: Coordinate travel logistics, accommodations, and bookings when necessary.
- General Administrative Support: Handle ad hoc tasks related to ongoing projects or operational needs.
- Client Collaboration: Ensure client satisfaction through effective communication, timely delivery, and high-quality support.
