The Department of Economic Security, Division of Benefits and Medical Eligibility, is seeking an experienced and highly motivated individual to join our team as an Executive Staff Assistant. Under the supervision of the Division of Benefits and Medical Eligibility (DBME) Assistant Director, this role serves as the Executive Staff Assistant, responsible for work of considerable difficulty, handling complex tasks, providing technical guidance, and offering administrative expertise to the Assistant Director and Program Administrators. It involves recommending improvements for the unit's operations, executing special projects, identifying issues, developing solutions, and implementing changes.

This position may offer the ability to work remotely, within Arizona, based upon the department's business needs and continual meeting of expected performance measures.

Job Duties:

Essential Duties and Responsibilities include but are not limited to:

  • Works with the Assistant Director to develop and communicate strategies to ensure efficient operation of the Division.
  • Communicates with and guides Program Administrators on program goals, objectives, accountability, and service delivery.
  • Initiate reports, research formal recommendations and solutions for the resolution of problems related to personnel management, and the development of operating procedures.
  • Monitor methods and procedures to assure timely and accurate program compliance with inquiries and responses to program audits, reports, presentations, and actions.
  • Investigate, research, and prepare Assistant Director's administrative personnel decisions related to disciplinary actions, employee grievances, discrimination complaints, and appeals.
  • Represent Division responding to inquiries from the media in coordination with the DES Public Information Office.
  • Other duties as assigned, as related to the position.
Knowledge, Skills & Abilities (KSAs):

Knowledge of:

  • High-level of experience with a wide variety of personal computer software, mainframe systems, effective report design, as well as Process improvement and process streamlining, including research and problem-solving techniques.
  • Division directives, policies, and management.

Skill in:

  • Strong public relations, verbal communication, writing skills, and the ability to establish and maintain effective working relationships.
  • Organizing, gathering, and analyzing information to develop action plans. Also, an understanding of budget, purchasing, and other related functions.

Ability to:

  • Work independently and use critical thinking with general instruction while functioning as an integral part of the Administration's management structure.
  • Maintain confidentiality and integrity with documentation and develop effective work plans and methods for improvement.
  • Prepare and distribute meeting minutes, huddle notes, compile and prepare meeting agendas, materials, and reports/data, and maintain supply inventory.
  • Adjust to a constantly changing work environment.
Selective Preference(s):

The ideal candidate for this position will have:

  • Minimum of five years of progressively responsible management and a background in the development and implementation of improved business practices.
  • Must have working knowledge of DBME Benefits and Eligibility processes, programs, and services.

  • Successfully pass background and reference checks; employment is contingent upon completion of the above-mentioned process and the agency’s ability to reasonably accommodate any restrictions.

Retirement:

State employees are required to participate in the Arizona State Retirement System (ASRS), the State sponsored retirement contribution plan and the Long-Term Disability (LTD) program after a 27-week waiting period. The ASRS defined benefit plan provides for life-long income upon retirement. You will also have the option to participate in a voluntary deferred compensation program to take advantage of tax-deferred retirement investments.
