Job title: Catering Coordinator

Salary range: $800-1300 USD/month

Schedule: M-F 6AM-2PM EST


We are a growing coffee shop chain serving Counter Culture Coffee and awesome sandwiches and salads! Our Mission: Winfield Street Coffee was created to be a community gathering coffee place where guests can find a warm smile, excellent coffee and creative food.


  • Answering catering calls and emails
  • Updating our catering guide, as needed
  • Preparing correspondence, contracts, proposals, event checklists
  • Assigning drivers and staff for the catering jobs and events
  • Ensuring store managers are updated about client's requests and order changes
  • Creating and maintaining customer files
  • Maintaining sales systems
  • Completing RFP’s 
  • Qualify and transfer all incoming leads, via phone, email, and in person, to appropriate Manager
  • Draw contracts
  • Send quotes, receipts and invoices to client
  • Put together Sales press packets
  • Cost Estimates and quotes, including vendor partners like rental companies
  • Create, complete, and update Event Orders Checklists (EOC), work with Managers and Clients for event details
  • Print and distribute EOCs for each event weekly, add events to catering platform and scheduling platform
  • Distribute EOC revisions daily
  • Maintain Event Manager Spreadsheet weekly
  • Weekly, Quarterly and Yearly Sales Metrics Reports 
  • Weekly Catering and Social Events Sales Reports
  • Check staff and driver availability in Homebase and place hiring ads as needed
  • Provide site tours for clients and hold sales meetings
  • Capture additional clients via cold calls and sampling visits
  • Create and print menu cards and platter food labels or chalkboard as needed
  • Maintain event equipment and auxiliary (tables, table cloths, chalkboard, espresso machine, etc)
  • Update pricing, item, and contract forms
  • Deliver catering orders and work events
  • Maintaining and ordering supplies, equipment, and auxiliary event supplies
  • Admin duties like calendar organization, digital folder updates, payroll tasks, 
  • Minor bookkeeping tasks, etc.


  • 2-5 Years of Hospitality and Events Experience is a plus
  • Previous experience in a Sales and Catering department is a plus
  • Computer proficiency and experience with: Microsoft Office, Word, Excel. 
  • Experience with Clover, Ezcater, and Teams are all a plus.
  • Excellent written and verbal communication
  • Highly organized, detail-oriented and excellent time management
