About the position:
The Associate, US Resilience role provides essential administrative, logistical, and coordination support to ensure the effective implementation of the US Program's Resilience projects. This role supports the implementation of resilience project activities, including meeting coordination, partner communication, webinar logistics, data entry, file organization, reporting compilation, and grant administration processes. The Associate will support systems and coordination that keep resilience project activities organized, responsive, and on track by maintaining systems, coordinating calendars and communications, documenting meetings, tracking action items, and supporting accurate project and participation records.
Key Outcomes:
In the first 90 days, the Associate will:
Learn and live the Americares values.
Complete all required new hire onboarding training.
Become familiar with the US Resilience projects, including stakeholders, meetings, trackers, reporting needs, and administrative processes.
Demonstrate proficiency in Microsoft Office, SharePoint, remote meeting platforms, distribution lists, and relevant trackers or databases.
Support scheduling, meeting invitations, RSVP tracking, and meeting preparation.
Demonstrate effective, customer service-focused communication that supports coordination and implementation across project stakeholders.
Begin supporting file organization, contact lists, and data entry.
In the first 6 months, the Associate will:
Independently schedule meetings, send invitations, manager RSVPs, and prepare meeting materials.
Take clear meeting notes and track decisions, action items, owners, and deadlines.
Send timely follow-ups, reminders, and routine communications to support timely implementation of project activities.
Maintain organized files, contact lists, distribution lists, trackers, and databases.
Support reporting compilation and grant administration logistics, including organizing documentation, tracking required materials, and supporting submission processes.
In the first year, the Associate will:
Provide reliable and proactive administrative and coordination support for activity implementation across the US Resilience projects.
Maintain accurate and organized systems for meetings, communications, participation data, implementation tracking, reporting, and grant administration.
Fully and proactively support the activities of the US Resilience projects by helping coordinate priorities, track follow-up items, and ensure smooth project operations.
Contribute to efficient, consistent, and high-quality implementation of US Resilience project activities.
Duties and Responsibilities:
Project Coordination and Meeting Management
Coordinate meetings and project activities, including scheduling, invitations, RSVP tracking, preparation of materials, and follow-up communications.
Document meetings by capturing key decisions, action items, owners, and deadlines, and track progress to support timely completion of deliverables.
Systems and Data Management
Maintain organized systems and records across the Resilience projects, including SharePoint files, contact and partner lists, distribution lists, and participation data.
Update and manage trackers, databases (e.g., Salesforce), and implementation tools to ensure accurate and accessible project information.
Communications Support
Draft and send routine communications, including meeting invitations, reminders, follow-ups, and partner updates.
Support clear, timely, and customer service-oriented communication.
Grant and Administrative Support
Support grant administration processes, including organizing documentation, tracking required materials, and assisting with applications and agreements.
Team Contribution
Actively model and contribute to Americares values, work culture, and mission.

US work authorization is required for this role.
These competencies would be great to have, but are not required:
Demonstrated experience in climate, disaster resilience, or public health.
Fluency in languages that are spoken in at least one of our core locations (India, Philippines, Tanzania, El Salvador, Puerto Rico, Colombia, etc.), in addition to English.
