Administrative Coordinator Executive Director Supportive Role (US-Remote)


What you will do

In this vital role you will be a key member of the US Value & Access team, the Administrative Coordinator (AC) will be primarily responsible for complex administrative support activities supporting multiple Executive Directors/Directors for the US Value & Access team.

We are seeking an Administrative Coordinator who enjoys working in a fast-paced fluctuating environment and can ensure timely coordination of tasks for multiple executives. The individual must be flexible, take initiative and work well independently and in teams. The coordinator should be diligent, able to work on multiple projects simultaneously, and effectively prioritize work as well as able to handle sensitive and confidential information with discretion.

  • Pro-Actively handle executive calendars with multiple priorities, identify conflicts and creatively resolve, schedule cross functional meetings, and respond to meeting requests
  • Maintain contact lists and assignments
  • Coordinate web-interface meetings, capture, transcribe and distribute meeting minutes
  • Coordinate domestic/international travel arrangements, prepare itineraries, process expense reports
  • Provide backup support to designated AC
  • Update and maintain dues, memberships, subscriptions
  • Assisting with preparation of presentations and meeting agendas
  • Coordinating processes including invoicing, purchase orders, mailings, and courier/deliveries
  • Maintaining department email distribution lists
  • Maintaining department-wide rosters, organizational charts, and account alignments
  • Collaborating with fellow US Value & Access Administrative Coordinators and Senior Executive
  • Assistants to execute on department-wide needs
  • Preparing agendas and taking action-items as the need arises
  • Note-taking and meeting transcription

Basic Qualifications:

Associates degree and 2 years of administrative experience


High school diploma / GED and 4 years of administrative experience

Preferred Qualifications:

  • Biopharmaceutical/ technology experience
  • 2+ years in an administrative support role
  • Self-starter who can function autonomously
  • Excellent communication skills (verbal and written)
  • Experience providing administrative support to remote staff
  • Demonstrate interpersonal skills to effectively establish and maintain professional relationships, partner with colleagues, and achieve required business outcomes
  • Demonstrate strong abilities in prioritizing, balancing multiple tasks in order to meet deadlines and priorities, tracking and reporting the status of assignments and activities
  • Ability to demonstrate sound judgment, solutions-oriented, problem solver
  • Experienced knowledge of computer software (Microsoft Word, PowerPoint, etc.)
  • Preferred knowledge of MyBuy, SAP, WebEx, MSTeams, SharePoint and Concur
  • Handle multiple calendars including coordination across multiple time zones
