Business Administrator, Americas Finance

The GSMO HQ Finance team is seeking a full-time Business Administrator. This position will provide administrative support to the two HQ leads, as well as support to the overall HQ team of approximately 25 people. This role will also partner with the Executive Business Administrator to GSMO CFO (based in Europe) for certain Redmond/US based needs. This is a great opportunity for a highly skilled and motivated individual to provide a variety of complex organizational, project, and administrative services.

Primary Responsibilities:

  • Make decisions on behalf of the HQ leads to ensure meeting requests meet with time management priorities and performance objectives
  • Manage and maintain the calendars of the HQ leads on a daily basis to ensure accurate scheduling and organization
  • Partner with the HQ Leads to deliver Rhythm of the Business processes, including Offsites, All-Hands meetings, etc.
  • Partner with the HQ Culture & Climate virtual team to deliver team initiatives including morale events, training and development days, Diversity/Inclusion/Allyship opportunities, etc.
  • Assist with planning and logistics for HQ team events
  • Manage team award program including all communications, v-team, processes and procedures
  • Process expense reports
  • Coordinate team morale events while staying within the allocated budget
  • Manage space coordination, new employee setup and other administrative processes
  • Procurement of goods and services including computer equipment, offices supplies, reference materials, and facilities requests
  • Management of systems, tools, and processes including: managing team distribution lists
  • Provide general project support as needed including ad-hoc reporting
  • Communicating and driving all administrative tasks across a remote based team
  • Manage any domestic and international travel scheduling end-to-end including the proactive anticipation of logistics and itineraries (limited)

Basic Qualifications:

  • 5+ years total administrative experience
  • Minimum of 5 years of experience with Outlook, Word, Excel and PowerPoint

Desired skills and experience include:

  • Technical skills in Outlook, PowerPoint, OneNote, SharePoint and internal Microsoft tools like MSS, Headtrax, MyOrder, MSExpense, and MSTravel.
  • Excellent communication skills and follow-through
  • Ability to set priorities and handle multiple tasks simultaneously
  • Must be proactive and able to deal with ambiguity, prioritize own work and resources, and juggle multiple tasks in a manner transparent to the team, and work independently to achieve results with a high degree of accuracy
  • Tech savoy for problem solving phones, basic computer set-up, A/V, and Skype Online Meetings
